Dragon 2006 Volunteer Mtg.

WHEN: Sunday Dec.11th 1:00PM
WHERE: 627 Old County Rd. Severna Park MD 21146 (My house)
WHO: Any and all members who have shown interest in helping out with organising the 2006 Dragon. Please resond to this thread.
Pizza and drinks will be provided.

Ok, so we're a lil late in the game....all the more reason for this meeting. We need to appoint committee chairs, who will in turn gather their own people for their particular committee.
the following committees will be needed:
PRINTING: This group will initiate and oversee all printed materials needed, such as registration packets, schedules, maps, and general info. The chair will need to find a printer, get written estimates, then work with that printer to make sure all is done correctly and in a timely manner. Once the printed materials are complete, a method of getting them down to Fontana will have to be worked out.
TSHIRTS: Same as above, but will also have to come up with a design for the shirts, someone to execute the design(Cooperation comes to mind), keep track of sizes ordered with registration, etc.
REGISTRATION: This committee will be in charge of keeping track of registration, organising the registration packets and distributing them when registration opens.
FORUM/THREADS: This committee will post and closely monitor threads/forums concerning any organised events at the Dragon.
Please be prepared to take notes.

If I have overlooked anything, feel free to post your comments/ideas on this thread.
THIS IS A MUST ATTEND MEETING. ONCE COMMITTEE CHAIRS HAVE BEEN CHOSEN, THOSE CHAIRS WILL REPORT ANY AND ALL ACTIVITY UNDERTAKEN BY THEIR COMMITTEES TO ME AND CONSEQUENTLY, THE DCMM BOARD. COMMITTEE CHAIRS MUST BE WILLING AND ABLE TO WORK ON THEIR PARTICULAR TASK THROUGH TO, AND INCLUDING, THE EVENT.

That's just the problem. My company Christmas party is the night before, with hotel stay and recovery morning as part of the picture (my company really makes a big thing of this - very large ballroom, fancy dress, etc.). 1pm in the Annapolis/Baltimore area will not be feasible.

I think we could make it there around 2pm or 3pm... but probably not 1pm.

We want to help for Dragon 2006, don't get me wrong, but "must attend" will likely become "will attend late" for both Sally and I if the meeting time (or date) doesn't change.

Sorry Mom! We'll do our best though.

Well...I guess you know that I can't be there...just a little six hour airplane ride between me and Severna Park.

But you know that I will do whatever I can to help out until the bitter end!

Heyo... I'll definitely be there. You're closer to me than I knew, kgdblu! (I'm in Hanover)

Quick aside: I can handle the design work for sure (IT geek by trade, but my degree's in design). Happy to take suggestions and just do production, or work in a group. T-shirts, printed materials, web site/page, you name it.

I would like to help out with the design work. T-shirts, promotional items, etc. Not very good with the computer, but I can still help out hopefully.
Would like to help out some at the Dragon as well.

More background

Can you provide some more background? I understand where the Tail of the Dragon is and that a bunch of MINIs go there in May and stay some place called Fontana. Can you fill in the rest?

What exactly is DCMM coordinating/organizing? Just the DCMM participants or the ones from all over the country? Are we coordinating all the vendors, too? Do participants pay a registration fee to DCMM that covers the cost of shirts, the packets, etc.

Do we have to plan social events and coordinate those, too?

As mentioned in the first post, DCMM is organizing the 2006 Dragon.
This involves registration packets which include a Tshirt, event info, vendor info and other stuff. These packets have to be created, made and distributed. Yes, folks pay a fee.
The Dragon is going to be an international event, as we'll have people from Canada this time. Hundreds of people come...I'm guessing that 450 cars might attend. Other MINI clubs also sponsor events, like the Farewell Dinner at the end of the weekend. There's at least as much driving as there is socializing.
The club also pays for event insurance. For those who pay for the registration, they are covered in case of mishap. Anyone can pay for registration, tho' it's not required.
Any event DCMM plans is for everyone, not just DCMM members.
Things are still in the earliest stages,...there may be a specific vendor event. We might also have a dinner. There's a chili cook-off.
I also want to provide a central information area this year...even if it's nothing more than that day's events or gathering written on a dry erase board.

I have info gathering to do myself. I'm gathering details from last year's organizers.

At our quarterly meeting the other night it was decided that we, the MINI Motoring Club of the Carolinas, would like to sponsor the "Best of" trophies as we did last year. We're working on changing the ballot system a bit to get more people involved in the voting and working a few other bugs out that reared up last year. I know this doesn't really help in your logistical plannng, but I thought you'd like to know we're working on it.
