There are more than a few of us that are now organizing local events. I want to start a topic to allow us to share what we have learned.

Liability Waivers

* * * First and foremost: Get everyone that attends to sign a liability waiver. * * *
Not that anything should go wrong, but if it does, you have some measure of protection. This will be something I would insist on at any future event.

General

1. pre-registration (even if just by e-mail or a poll on a yahoo group) is really a good idea to prevent an event's size getting out of hand and impacting the quality of the experience for everyone.
2. Work with the local MINI dealership(s). If you provide fliers for events, they may be willing to distribute these to their customers. This can be as simple as having a stack in the sales department. The dealership here is also giving each MINI customer that comes into the service department fliers for upcoming events.
3. If companies are providing products for giveaways, find out far enough in advance so that their names and/or logos can be used on any publicity for the event. They may even promote it on their websites.
4. Companies can contribute in a lot of ways: products for prizes, t-shirts, stickers, catalogs, gift certificates, discount coupons for everyone in attendance... one company for the rally made us custom event decals. The MINI dealership gave away an interior and exterior detail. They also raffled off a couple supplemental oil changes.
5. Any company that donates product should get a thank you e-mail after the event. Even better, give any winners of large prizes the contact information for the company that made the donation.
6. Ask if companies have banners. These can be shipped out specifically for the event, displayed during the event, and then sent back to the vendor.
7. Take pictures of the event and any winners of large prizes. These can be sent back to the company that donated the prizes. Better still, get pictures of the winners in front of the companies banner if they provided one.

Rally Specific Tips:

1. Get some friends to help you plan this. It's a lot of work
2. Select a course and make directions. Pre-drive the course. Refine directions. Drive it again to verify changes. Get a friend to drive it and give you feedback. Did the directions make sense?
3. Finish at a restaurant. Reserve a separate meeting room if they have one. Make sure you give them a good estimate of the number of people you expect so they can staff appropriately. We had 75 people at the Yalla Yalla (You might notice that this link was actually put up by Schomp MINI. Way cool). Once you get a group that size you need to sure that the restaurant can handle that.
4. Get to know your local dealer very well. They are a fantastic resource for handing out fliers. They may also be willing to help with prizes and send salespeople or service techs or service writers to represent the dealer at the event. In Denver, the dealerships are all closed on Sunday. So the Yalla Yalla was intentionally scheduled for Sunday to allow the dealership employees to attend with the demo MINIs.
5. Use back roads as much as possible. This complicates the routing, but it also makes things more fun.
6. Make it possible to complete the rally in 2-3 hours. Also, hand out the location of the FINISH to everyone at the START. That way if anyone gets seriously lost they can still join you for lunch.
7. If you have multiple sets of directions, run them off on different colored paper to keep them straight.
8. At registration, have people sign in (they pre-registered so you should have their names), sign the waiver, and then if you have the materials, give them a sack with some stuff in it. For the Yalla Yalla this included stickers, the questions people were expected to answer, and directions to the restaurant.

Group Drive Specific Tips

1. Encourage everyone to bring Motorola TalkAbouts or similar FRS style 2-way radios with subchannel capability tuned to 7 sub 21. This will allow for communication between cars during the drive.
2. If possible hand out maps with the route highlighted. Turn-by-turn directions are nice too.
3. Make clear whether the drive is just for sightseeing or whether this is an enthusiastic drive. When doing a drive with an enthusiastic pace, plan on getting on the road in the morning to avoid other traffic.
4. Let people know what time to meet-up (say 8 AM) and what time the group will depart (8:30 AM).
5. Hold a driver's meeting and have everyone sign a liability waiver.

Impromptu Car Shows

1. Large Parking Lots near restaurants work nicely. That way people can filter in and out of the restaurant.

Tips on securing support from the dealership/aftermarket:

1. Be nice
2. give them an idea of the size of the event. We did pre-registration and enforced a cut-off on registration.
3. Be polite :smile:
4. Once they have a feel for the size, make the point that you'll have everyone together at the end of the event at a resturant. If they want to send anything out, you would be happy to display it.
5. Be nice
6. Ask them to send catalogs and stickers for you to give each MINI that attends the event.
7. Don't expect the world. This may take a few phone calls and e-mails. Remember though...
8. Be nice
9. Tell them you are looking to pass out awards at the end of the event and wondered if they would be interested in sponsoring the event and providing a couple of giveaways for prizes.
10. Ask early enough so you can get their name and website on any and all publicity for the event. This includes any post announcing the event, any flier that gets passed out, the directions, and any after event posting. (Check the rocky mountain forum for all the Yalla Yalla posts for an example of what I'm talking about).
11. Be sure to thank them for their support (even if all they do is provide catalogs). Remember, you have the chance to demonstrate you can put on a quality event and have the chance to get them to raise the bar for the next event. Think long term.
12. Ask for a .jpg logo so that you can use that on any publicity (rescale them to be all approximately the same size).
13. Be nice (can't say this one enough)
*14. Let everyone at the event know that sponsorship like this is appreciated, and that they can help ensure future support by remembering that these companies supported local enthusiasts when they purchase their after market mods.
In short: Demonstrate you can represent them well, because you represent yourself and the event well.

2) Consider offering prizes around various themes. For example, the MINI with the highest mileage won one of the supplemental oil changes. The other one was drawn for at random. In another case, we gave away a 1/12th scale MINI to the person who got the most Mini/MINI trivia questions correct.
3) Make people earn the big stuff. The MINI Madness Cooper S intake was the grand prize for the Cooper S, and the Schomp MINI Interior/Exterior detail was the grand prize for the Cooper. We didn't raffle this off. People had to demonstrate their MINI passion AND their ability to complete the event challenges.
4) Tiebreaker Questions: People did very well overall in answering trivia questions. Thus I was very glad we had a tiebreaker question. We asked for the distance (according to mapquest) in miles from the VPC in California to Schomp MINI. The closest to the actual answer won. The question offers a challenge on several levels. They had to know where the VPC was and then guess the mapquest distance. It's not a simple yes or no question, so it helps separate the wheat from the chaff.

- MINI Night at the auto show - have MINI owners show up and walk through the auto show together. Now admittedly this is a better event if uou live in L.A. or Detroit.

That information was originally posted a month or so ago in another thread. Since then, MINI5280 has had a lot of hard work put into it by all of the local organizers. Thus, it's best to view the above as being just the first installment.

Installment #2: Founding / Forming a MINI Club

Determining Club Officers

There are a couple different ways of doing this. The more traditional route is to get 30 or so MINIacs together, have those who are interested in the various positions explain their background and then vote.
Then there is what we did in Denver. Instead of getting everyone together, we just collected those people who had a strong interest in organization together. From that we took some time to have everyone write bios, share their past experience with car clubs and non-profit background. Then after becoming familiar with each other and what we each wanted to accomplish with organization, our existing time commitments, and availability, the seven of us got together and discussed things among ourselves. From that group of 7, we already had a decent idea who would be interested in what position and what capacity people wanted to participate. Then we elected officers (really painless since we all knew each other and felt comfortable with each other). After that we set out to do the work of establishing the club. Mind you we still have no membership at that point. The intent was to get the club established and then take membership, not have members waiting for progress that in the beginning will be slow.
The essential functions were determined to be as follows: President, Secretary, Treasurer, and Technology.
President: basically orchestration of all the various club activities. Despite the title, possibly the least important position of the four. The other positions are where the work is really being done. Responsibilities
Secretary: in our club, the secretary serves a dual purpose.
Treasurer: again, Treasurer serves two functions
Technology: this position is centered around the website development and maintenence (updates for events and such once the club is established). It's a critical position as this is the public presentation of the club. This person would not be a signer on the club bank account.

Obtaining Employer Identification Number (EIN) / I.R.S. form SS4

The Employer Identification Number (EIN) is really the key to helping establish your club as an organization. We had an accountant prepare and send in the EIN form to the I.R.S. I would actually recommend that someone who has done this before actually file the form. However, here is the form and the I.R.S. FAQ for your information.
Bank Accounts

Once the club has an EIN sent back from the I.R.S., it is then possible for the club to establish a bank account. Here is one approach to handling the club account.

Liability General

To help prevent personal exposure to liability, even after establishing the club with the EIN, all officers of the club should conduct all official duties in the name of the club. No club officer should sign documents for the club as an individual. That potentially exposes them to liability. They should sign in the following format:
Name, Title, Club Name (i.e. Dave, President, MINICLUB)
All club business receipts should be signed in that same manner, and NO personal checks should be used to pay for club business.

I further represent that I have all necessary licenses and insurance to participate, and that I am not taking any drugs or medication, nor do I have any physical or mental limitations, which would interfere with my safe participation. I recognize that the operation of any MINI is an inherently dangerous activity with a risk of loss of the MINI and serious injury or death to my passengers and myself. I understand that these risks include, but are not limited to, road surface conditions, debris on roads, varying road widths, curves, and other vehicles and pedestrians sharing the roadway, and the skills of other participants.
In consideration for being permitted to participate in the CLUB NAME EVENT NAME, I the undersigned on behalf of myself and my heirs, executors, administrators, assigns and legal representatives, agree and indemnify, defend and hold harmless CLUB NAME and their representatives, individually and in the capacity indicated, from and against any and all damages, claims, suits, causes of action to and against a person and property, (including but not limited to attorney's fees) arising in connection with or related to my participation.
Further, I assume all risk of injury and loss, waive and release any claim of damage and injury of any nature I might state against CLUB NAME and their representatives, who assist in the capacity indicated, arising out of my participation.
I have been offered the opportunity to consult with the legal and/or other advisors of my choice before signing this Unconditional Waiver and Release, and I enter into freely and on behalf of myself and my heirs, successors, and assignees.

I have been looking into insurance recently and here's what I have learned so far (which ain't much)
So far, my most promising lead is at K&K Insurance Motorsports Division. They write policies for events and for groups as a whole. I'm suppose to talk more with one of their agents tomorrow.
I will update this thread again with anything I find out.

Good news / Bad news with insurance
Good News
K&K Insurance Motorsport Division will insure local car clubs that do group drives, drive-n-dines, and driver's eds on the track.
The Bad News
They want $1500 annually for $1 million dollars worth of coverage.
It would have to be paid all at once (no monthly installments).
The major hurtle I see is that a club would need to have that money together in advance. Even if the club could recoup some of the money later in the year by charging for insurance at the track events, it would still need to already have the policy before the event. So the most likely source of club income to cover something like this would be club dues. Just for example's sake, let's say a club charges $25 per member per year. That translates into 60 memberships just to pay for insurance. Granted after the club had the policy, it could accumulate the $1500 premium for the following year by charging for insurance at the special events it held in the first year.
Still, the barrier to entry seems high for local club.

K&K Insurance Motorsport Division will insure local car clubs that do group drives, drive-n-dines, and driver's eds on the track.
The Bad News
They want $1500 annually for $1 million dollars worth of coverage.
It would have to be paid all at once (no monthly installments). The major hurtle I see is that a club would need to have that money together in advance. Even if the club could recoup some of the money later in the year by charging for insurance at the track events, it would still need to already have the policy before the event. So the most likely source of club income to cover something like this would be club dues. Just for example's sake, let's say a club charges $25 per member per year. That translates into 60 memberships just to pay for insurance. Granted after the club had the policy, it could accumulate the $1500 premium for the following year by charging for insurance at the special events it held in the first year.
Still, the barrier to entry seems high for local club.

My tax attorney says to start a non-profit organization you must submit the (20 page document) IRS Form 1023. He said nothing of form ss4. Can anyone comment on this? It may cost a lot to have this form filled out so I need to make sure.

I didn't personally do the filing, but I understand that in PA it was moderately simple - only a few forms (sorry, I'm not certain which ones). I don't know if things differ from state to state either. The person that filed for us is in Canada today, but I'll see if I can get him to post a reply tomorrow if you haven't gotten a response before then.
I submitted a single page document for a EIN. Don't have the form in front of me, but email me at ryan@pdxmini.org and I'll get that info to you.

Who wants to assist me with this cross country Rally? I have several major sponsors looking at the details and waiting for solidification of the event dates....

I would like it to coincide with the national Track event... in Omaha right?
I'm guessing we'd need "regional leads", those who host the rally into their region, with a short day/night event of their choosing. They would also help plan for overnight stays and other accomodations. Even swaying their local dealerships to host a Rally Pit Stop Location if need be. It could be a great deal of fun and a beautiful way to unite all of these regional clubs.
If you are associated with any business that would like to sponsor. please let me know... I believe we have a semi-eager Top Level Sponsor, but we will not have it set until it's set... ya know? but there is plenty of room for more sponsorships. The more sponsorships we can get, the less expensive it will be for the event and it's participants... Oh yes, and the more sponsored prizes, the better!

Miniz - I have contacted various individuals for help on the Omaha deal. I am putting together a comprehensive (20 page) document for the MINI National Meet to present to MINICCA as a possible perminant "Bid Request" format for a host club to have a national meet..
